Frequently Asked Questions

Private Tutoring

Private tutoring is where students undertake lessons with tutors (typically, individuals who have completed the subejct themselves and/or have experience teaching) to supplement their learning at school. Private tutoring is conducted 1:1 i.e. the tutor will one be teaching only one student during the lesson. That way, students received more personalised attention, which makes it a lot easier for them to improve.

Our tutors are all top scorers (scored in the top 5% in Australia), subject experts and/or qualified teachers. We do a thorough background-check and ensure that they are licensed to work with children. Tutors have either completed the subject themselves, have taught the subject previously and/or are extremely familiar with the topics in the curriculum.

We offer a 15-minute free consultation with your prospective tutor before lessons begin, so you can decide if you’d like to give tutoring with them a shot! We assign tutors based on who would be the best fit with you and any specific requests you make as well.

If at any point, you are unhappy with your tutor, please let us know and we will arrange for a different tutor as well as another free consultation with them.

We try our best to meticulously pick the most suitable tutor for you, considering subject expertise, experience, personality, availability and reliability. However, if you ever need to change tutors, please let us know and we will arrange it as soon as possible.

In our initial consultation, we gauge an understanding of what is required, your specific topics, your current curriculum as well as your goals and areas of improvement. We then go on to make a lesson plan and structure based on all this information, ensuring we accommodate for your input or any requests you make along the way 🙂

For example:

If you are preparing for exams, we will go through several mock tests and practice exams.

If you are struggling with understanding concepts, we will take you through them step-by-step until you’re confident.

If you want to learn ahead, we will teach you advanced content specific to your curriculum.

We can tailor a plan for pretty much any goal you may have!

Currently, we only offer online tutoring as it’s a little more flexible for both the student and the tutor. We make our lessons as interactive as it would be in-person, maintaining the same techniques such as e.g. having the students show and explain to us their working out, and guiding them through our working out as well. Our lessons are over Zoom, where we keep our video on (so it is face-to-face) and use an interactive whiteboard, screensharing all our work/questions to ensure full engagement.

If interested, you are welcome to view subject tutoring demonstrations on our subject pages! You can learn more about how our tutoring works here.

OPTION 1: $80/hr PAYG

We will charge your card on file after each lesson and send you the receipt for every single transaction, maximising convenience and transparency. Once you create an account with us, you will also be able to log in to view all payments taken as well as details of any past/upcoming classes. If there are any failed/overdue payments for completed lessons, you will be sent an email to complete the payment within 3 days – for as long as the payment remains overdue, new lessons cannot be booked with the tutor.

If your invoice is more than 30 days overdue, a $20 late payment fee is added to your invoice. This payment is due in 7 days. If the payment for your invoice with the late fee is not completed within 7 days, Excel Academics will pass the invoice information on to Marshall Freeman Debt Recovery or another debt collection agency to collect the payment.

OPTION 2: $750 for 10 hours of tutoring (SAVE $50)

We will charge your card on file for $750 before the first lesson, which will set your balance to 10 tutoring hours. This 10 hour tutoring package is non-refundable, but you save $50 and can schedule these 10 hours of tutoring as you choose (e.g. 1hr per week of tutoring over the next 10 weeks). You can also distribute these 10 hours of tutoring between several subjects and onto the next term if you join mid-term. When you have only 1 hour of tutoring left in your package, we will send you a notice that your account will be charged for another 10 hours to continue your lessons – here you can choose to continue or if you would like to cancel, please inform us via email ([email protected]) before the last hour of tutoring is completed. If your balance is insufficient or you do not renew your package, new lessons cannot be booked with the tutor.

Payment Method & Security: For those wondering what payment methods are available, we currently only accept direct debit (i.e. credit or debit card – but we will soon integrate BECS Direct Debit as well). We use an extremely secure software called Stripe (it’s very similar to PayPal) to create/send invoices, which several Fortune 500 companies use as it is certified PCI Service Provider Level 1: the most stringent level of certification available in the payments industry. As required by law, your details stay encrypted, meaning we cannot view any of your payment information. Further security information can be found here if you would like to know more regarding the safety of the payment method: Security at Stripe.

In regards to the security of our regisration form, the data collected is hosted by Amazon Web Services (AWS), which is highly secure and for more information on their security policies, you can refer to this link: https://aws.amazon.com/security/security-resources/. All connections are also encrypted with SSL and access to all data is password protected, with the software’s Privacy Policy being linked below if you would like more information: https://teachworks.com/privacy

If you choose our PAYG option, you do not have to commit to a certain number of lessons. On the other hand, if you purchase our 10 hour tutoring package, you will be committed to 10 hours of tutoring in total, which you are welcome to schedule as you prefer.

We optimise flexibility by allowing our students to switch between payment options; for example, several of our new students start off on a PAYG plan, and once they are happy with a longer term commitment, switch over to the Package plan.

Your satisfaction is our #1 priority and we will never force you to stay if you are not finding lessons helpful. That’s why we provide free consultations and 24/7 support on top of the option for a flexible pay-as-you-go arrangement.

We will always accommodate for your availabilities and we are very flexible with timings. Being in direct communication with your tutor, you will always be able to arrange lessons that suit you. You can arrange extra lessons and/or longer lessons as well, since the timing and frequency of them are all up to you! However, as students see the best results with consistent lessons, our expectation is that students have at least 1 hour of tutoring per week consistently throughout the school term.

We also tutor on weekends and holidays – but, of course, you are always welcome to take a break during your holidays as well; and resume with your tutor once the school terms starts.

You can learn about how our private tutoring works here.

Cancellation and rescheduling: please let your tutor know at least 6 hours before the lesson is meant to begin if you would like to cancel or reschedule. Failure to let your tutor know within this timeframe will result in a fee of $30. Also, repeated cancellation at significant inconvenience to the tutor will cause a cancellation fee to be issued. Note: if you let our Learning Advisor, Sreeya, know about the cancellation beforehand, we can let your tutor know as well; however, we may not be able to guarantee that the cancellation message will reach your tutor before the 6 hour notice (especially if we receive a message outside of typical business hours). Thus, it is always best to directly communicate cancellations with your tutor at least 6 hours prior to your lesson time to ensure you are not charged any cancellation fees.

Continuity policy: at Excel Academics, flexibility is maximised in that the student and tutor are able to communicate directly and adjust lesson timings if necessary. However, to accommodate as many of Excel Academics’ student requests as possible, if a student does not have any lessons for more than 14 days without notice, their spot will be opened up to other students. This also remains at the discretion of the tutor and Excel Academics, but our expectation is that students have at least 1 hour of tutoring per week consistently during the school term. School holidays are flexible: you are welcome to continue tutoring over the holidays or take a break; and in the second case, please inform your tutor before you choose to go on break and when you would like to resume lessons.

Late arrival: if the student is more than 15 minutes late without prior notice, the tutor may cancel the lesson and the same cancellation fee of $30/hr will be applied in this case. If the student shows up late and the lesson continues, the student shall be charged for the amount of time the lesson was initially planned for.

90% of our tutors are university students and 10% are qualified teachers and/or professionals in their field. The important part here is that each tutor is highly specialised in the subject they are tutoring by e.g. having completed the subject themselves, being experienced in teaching the subject and/or pursuing the field of study at a tertiary level.

Thus, you can be rest assured that your tutor will know their stuff!

Lesson timing, duration, and frequency are completely up to you!

Have an exam coming up in a couple days? You can bump your lessons up to two times a week and/or consider extending their duration.

Most of our students do 1hr/week, but for older students who may need extra support when completing their ATAR, we recommend 2hrs/week. Nevertheless, this is completely up to you and your preferences! We are always here to offer you any advice 🙂

After a phone call with our Learning Advisor, we will have identified who on our tutoring team would be the best fit for you. This team member (tutor) will reach out to you before the agreed upon date and time for your free consultation to confirm the details and send the Zoom meeting link – and from here on, you will be in direct contact with your tutor via SMS or email.

During the 15 minute consultation, we analyse your goals, past performance, current curriculum and requirements to start personalising a lesson plan for you. In this consultation, you will also be able to assess whether the tutor assigned to you is a good fit for you! It’s also a time for you to ask any questions you have regarding lessons or about the tutor if you are curious 🙂

Fundamentally, the purpose of this consultation is the same as a trial lesson; however, instead of teaching content (which we prefer to begin once we gauge a solid understanding of your requirements), it is a casual consultation over Zoom where we get to know one another and make sure we’re all on the same page. Parents are welcome to join the consultation as well!

You can learn more about how your free consultation works here.

You can simply send a text message or email your tutor for when you would like to book in your lesson. If you ever need to reschedule or cancel, you can also let them know via SMS or email – it’s that simple!

Lessons are fully customised to your goals, past performance, and current curriculum. Regardless of whether you do the HSC, VCE, BSSS, WACE, QCE, or SACE – schools have their own, unique curriculums.

But don’t worry!

We ask you for your unit outline if you have access to it, and we personalise your lessson plan such that your tutoring is relevant and goes parallel to what’s being taught at school.

Although your tutoring will be well-structured, the lesson content is flexible. For example, if you have something from school you would like to go over during the lesson, just let your tutor know and we’ll be happy to help you out with it. During the lesson, we explain all concepts in a way that is best suited to your learning style and is easy to understand. As such, you are slowly able to identify the study habits / techniques which work best for you and optimise your exam performance. We also provide countless resources to ensure we are keeping track of and accelerating your progress –  you even receive progress reports after each lesson!
